How to Add a Witness Signature

This feature is currently available for Business Unlimited plans and higher.

What is a Witness Signature?

Witness Signatures allow Blueink documents to require a dedicated witness for a signer during the signing process.

This feature supports two witness workflows:

  • The sender provides the witness details before sending

  • The signer nominates the witness during signing

Blueink also supports the related witness notification, reminder, sequencing, intake, and audit trail flow automatically.

This helps:

  • Support compliance requirements

  • Add additional verification during signing

  • Simplify witness collection workflows

  • Keep witness activity included in the Certificate of Evidence

How to Access Witness Signatures

  1. Create a new document or use an existing:

    • Document Template

    • Envelope Template

  2. Proceed to the Signers section.

  3. Select the signer who requires a witness.

  4. Enable Require Witness Signature.

How to Configure Witness Signatures

1. Enable Witness Signature

After enabling Require Witness Signature, additional witness options will appear.

You can choose how the witness will be added to the signing workflow.

2. Select the Witness Method

Signer Chooses Witness

Select:

  • Signer chooses witness

With this option, the signer will provide the witness information during signing.

Blueink will automatically:

  • Collect witness details

  • Send witness notifications

  • Send witness reminders

  • Track witness activity in the audit trail

Sender Specifies Witness Details

Select:

  • I'll specify witness details

With this option, the sender enters the witness information before sending the document.

This is useful when the witness is already known in advance.

3. Assign Witness Signature Fields

When preparing the document, make sure the witness has assigned fields such as:

  • Signature

  • Initials

  • Date Signed

The witness must have at least one assigned field in the document before sending.
